JOB TITLE:

Administrative Assistant Level IV

SUMMARY OF POSITION/PURPOSE:

To complete duties as listed below in addition to supervising other office personnel.

High School Diploma

EXPERIENCE REQUIRED/PREFERRED:

Minimum three years experience in related profession.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  1. Keeps a record of all daily attendance sheets turned in by teachers.
  2. Posts period attendance in computer for all students.
  3. Runs daily attendance reports.
  4. Prints individual student attendance reports.
  5. Records daily absences in computer for all students.
  6. Makes calls to parents throughout the day regarding absenteeism.
  7. Responsible for student daily check out or check in procedures.
  8. Keeps all information current for forty (40) day count.
  9. Compiles data for the 40th day report.
  10. Prints form letters to parents for 3, 5 and 10 day absences.
  11. Submits STARS attendance reports to the District Office as per district schedule.
  12. Notifies parents by telephone when their student has exceeded the attendance policy and is in danger of being dropped.
  13. Updates student information in their active files and on the computer.
  14. Keeps, updates and posts student active files.
  15. Keeps Special Education student count current for the middle school.
  16. Assist in the preparation of the end of the year report.
  17. Keeps a file of all student activity absences.
  18. Keeps records of all drop outs and withdrawals and reasons for their actions.
  19. Compiles and submits reports as required by District Office.
  20. Registers new students
  21. Keeps a file on each student with general information pertaining to that student, (e.g. student schedule, copies of failure notices, report cards, notes from parents, doctors, etc.).
  22. Responsible for maintaining records of teacher substitutes.
  23. Responsible for seeing that the substitute teacher signs in on time and is taken to the proper classroom.
  24. Makes arrangement for substitutes for all coaches in all sports.
  25. Submits substitute report including reconciling time clock as per district schedule.
  26. Files substitute reports in teacher files.
  27. Maintains staff leave requests and compiles the leave report.
  28. Maintains time sheet records and submit records to the District Office for all non-certified employees, as per district schedule.
  29. Builds templates for reports that need to be generated on the school computer.
  30. Assists with daily office tasks such as answering phones, waiting on students and parents, writing re-admits.
  31. Type correspondence for Administration.
  32. Inputs & maintains all school accounts, federal, operational and athletic budgets.
  33. Receipts all money from clubs, organizations, buy outs, etc.
  34. Collects fines & fees owed (library, lunch, classroom, yearbook, etc.)
  35. Collects all fees associated with locker assignment.
  36. Prepares all financial reports.
  37. Deposits all monies receipted in bank.
  38. Enters all deposits in Visions.
  39. Inputs deposits and requisitions in Visions.
  40. Inputs travel requests.
  41. Pays invoices and P Card charges.
  42. Other duties as assigned.

  1. General computer skills

  4. Ability to work with staff, student, and public in a positive and professional manner.
  5. Knowledge of Accounting Practices.
  6. Ability to multi-task with few or no errors.
  7. Knowledge of Powerschool.
  8. Maintain confidentiality of school records under FERPA and HIPPA guidelines. 

PRIMARY JOB LOCATION:

Position is primarily in an office setting. Secretary may be requested to cover classes or duties as deemed necessary by site Administrator.
